Position Overview

QinetiQ US is looking for an Executive Administrator to provide executive level administrative assistant support and quality customer services for the Office of the Under Secretary of Defense Research and Engineering and components within the OUSD(R&E). In this position, you will manage the day-to-day activities of the office; maintain a professional work environment by knowing Senior Executive Service protocols; plan and schedule meetings, appointments and conferences; interact with the public, receive visitors to the office; coordinate and prepare official government travel using the Defense Travel System (DTS); organize and maintain files and records; process mail; and monitor the Correspondence and Task Management System (CATMS) tracking system. Duties include:

Responsibilities

  • Support operations management and administration, personnel administration, security administration, meeting administration and scheduling, Information Technology coordination, correspondence administration, technical, information and decision brief preparation, support to personnel travel administration, and classified material handling and security facility administration.
  • Provide timely and high-quality support to ASD in a complex and fast-paced environment requiring a high degree of critical thinking, initiative, problem solving, and professional judgement across an organizational setting.
  • Crosstrain with other contract staff to build depth of support structure.

Required Qualifications

  • Experience providing executive administration support to include preparing technical briefs, correspondence.
  • Experience with OSD processes and procedures related to supported tasks.
  • Experience in packaging, staffing, and routing correspondence across the DoD.
  • Experience managing senior-level scheduling including coordinating and executing meetings and teleconferences.
  • Experience supporting high-ranking Defense Department Senior Executives and interacting with DoD Flag / General Officers and their support staffs.
  • Experience working in a classified environment.
  • Proven skills in MS Office suite of applications.
  • 10 years of relevant experience.
  • A Bachelor’s degree from an accredited college or university is required.  At the discretion of the Government, a minimum of four (4) years of specialized experience including military or industry executive assistant experience may be substituted in lieu of specific educational requirements, in addition to the minimum experience listed.

Preferred Qualifications

  • Experience with workflow and SOP development and refinement.
  • Experience with Congressional coorespondence.
  • Experience with CATMS.
  • Experience with DTS.
